Equipment & Asset Management
Overview
The Asset Management module enables comprehensive tracking of all physical and technical machinery within your properties—from elevator cabs and booster pumps to HVAC chillers and fire panels.
Asset Hierarchy & Categories
Equipment is grouped into standardized categories:
- Lifts & Escalators: Elevators, hydraulic platforms, hoisting machinery.
- Pumps & Hydraulics: Booster stations, sump pumps, water pressurization systems.
- HVAC & Thermal: Boilers, chillers, ventilation units, air handlers.
- Electrical & Lighting: Distribution switchboards, backup generators, emergency lighting.
- Fire & Safety: Fire alarms, smoke dampers, hydrants, extinguishers.
- Plumbing & Sanitary: Drainage systems, shut-off valves, water meters.
Adding Equipment
- Manual Creation: Navigate to Assets → New Equipment. Specify the asset code, name, category, building, installation date, and technical specifications.
- Excel Batch Import: Download the standardized Excel template from Onboarding → Demo Data & Excel Import. Populate your assets in bulk and upload the spreadsheet. Each row is validated with per-row error reporting.
QR Code Labels
Every asset can have an on-site QR code:
- Open any asset details page and navigate to the QR Code card.
- Technicians can scan the QR code using any smartphone camera to instantly open the equipment dossier, review active work orders, or record an inspection.
- Residents can scan public QR codes to submit maintenance requests directly without creating an account.
- Batch print labels via Assets → Batch QR Labels for clean physical installation.
Best Practices
- Attach manufacturer manuals and warranty documents directly to the asset record.
- Tag critical equipment with a high criticality rating to ensure urgent response times when failures occur.
