Preventive Maintenance & Procedures
Overview
Preventive maintenance minimizes costly breakdowns and extends equipment lifespans by ensuring routine servicing, seasonal inspections, and legal compliance checks occur on schedule.
Standard Operating Procedures (SOPs)
Procedures define the exact sequence of steps a technician must perform:
- Open Planning → Procedures and choose New Procedure.
- Give the procedure a code and name (e.g.,
LIFT-QTR - Quarterly Elevator Safety Inspection). - Add sequential steps: instructions, expected response types (
yes/no/na, text, numeric measurement), and whether each step is mandatory. - Publish the procedure. Changes are version-controlled, guaranteeing that historical work order records reflect the exact procedure active at the time of execution.
Creating a Preventive Plan
- Open Planning → Preventive Plans and click New Plan.
- Select the target equipment asset and the linked procedure.
- Set the recurrence frequency (e.g., every 3 months, every 500 operating hours).
- Set the first scheduled date.
- The system automatically creates upcoming scheduled work orders in the calendar as due dates approach.
Inspection Routes & Campaigns
For routine rounds covering dozens of assets across multiple buildings (e.g., monthly fire extinguisher checks), group multiple procedures into an Inspection Route for single-pass technician execution.
Best Practices
- Review regulatory and legal inspection intervals (e.g., annual boiler certification, lift safety audits) and schedule them well in advance.
- Keep procedure step instructions concise and actionable so technicians can complete them efficiently on mobile devices.
