Work Orders & Operations
Overview
Work Orders are the central mechanism for tracking all field interventions, repairs, and inspections across your buildings.
Lifecycle & Statuses
A work order advances through clear operational stages:
- New / Draft: Created but not yet dispatched or assigned.
- Assigned: Allocated to a specific technician or team with scheduled dates.
- In Progress: The technician has arrived on-site and commenced work.
- On Hold: Awaiting replacement parts, customer access, or specialized contractor intervention.
- Completed: Field work is finished, checklist items are checked, and labor hours are recorded.
- Closed: Administratively signed off, verified, and archived.
Creating a Work Order
- Go to Work Orders → New Work Order.
- Enter a concise summary (e.g.,
Repair booster pump pressure sensor - Building B). - Select the building, asset (optional for general structural repairs), priority, and work type (Corrective, Preventive, Inspection, Emergency).
- Assign the primary technician and set scheduled start and due dates.
- Save the work order. The assigned technician receives an immediate notification.
Tracking Labor Time & Parts
- Time Entries: Technicians record labor, travel, and break minutes directly from the work order page or mobile app.
- Parts Consumption: Deduct replacement spare parts from warehouse inventory to maintain accurate inventory levels.
- Signatures & Photos: Capture before-and-after photographs and client sign-off signatures before marking the order as complete.
Best Practices
- Prioritize emergency work orders immediately to alert on-call technicians.
- Always include diagnostic details or resident notes in the work order description to save technician troubleshooting time.
